Position Overview
We are seeking a dedicated receptionist/runner for Mackay Law Firm, PLLC that will also serve as an (entry level) legal assistant/paralegal to Mr. Mackay. The ideal candidate will be self-motivated and eager to learn the practice of estate planning and probate. The candidate will begin for the first several months handling receptionist/office manager duties, as well as serving as a runner for the firm. The candidate will be interested in progressing to a full-time legal assistant/paralegal role with the firm, eventually learning all of Mr. Mackay’s practice areas in detail and assisting him with managing all of the legal matters handled by Mackay Law Firm, PLLC. Compensation will be adjusted accordingly as the candidate learns and develops their skills in the legal assistant/paralegal role.
Key Responsibilities
Communicate with clients, potential clients, witnesses, and other parties as Mackay Law Firm, PLLC’s receptionist. As the first contact point for the firm, you will be responsible for communicating efficiently and effectively on behalf of the firm and Mr. Mackay. You will be expected to greet and welcome clients and others in a professional manner, ensuring a positive first impression
Mailing - regular and certified mail return receipt requested (the firm uses stamps.com and the post office)
E-filing documents with courts using the state’s e-file system (efiletexas.gov)
Drafting legal documents as directed and under the supervision of Mr. Mackay
Strong proofreading abilities with great attention to detail in written communication and drafting
Managing and organizing client files, ensuring documents are properly filed and maintained
Strong computer literacy, to manage office software and perform basic troubleshooting when needed
Exhibit strong time management skills to prioritize tasks effectively in a busy/fast paced law practice
Recording real estate documents using the firm’s e-recording software
Occasionally serve as a “runner” for the firm, where you will transport legal documents to the court/clerk’s office, or to clients
Occasionally witness estate planning and other documents on behalf of the firm and its clients
Other clerical/administrative duties as directed
Qualifications
High school degree or equivalent. A Bachelor’s or Associate’s degree in legal studies related fields is desirable, but not required
Paralegal certification is desirable, but not required
Strong knowledge of estate planning/probate, real estate, and corporate law is preferred, but not required. The ideal candidate will be willing to learn all of the firm’s practice areas, and over time, become proficient and well versed in every area of practice the firm handles
Excellent research, writing, and communication skills
Ability to work independently and manage multiple cases/client matters simultaneously
Proficient in the use of all Microsoft Office products (word, excel etc.) and Adobe
For this position, you must be currently authorized to work in the United States without the need for sponsorship for a non-immigrant visa
Bilingual in Spanish and English is a bonus, but not a requirement
